Policies
Running an effective non-profit 501c3 organization does not come without expenses. Once a player has registered to play, SKV immediately begins to invest resources and incur expenses on a player’s behalf. Some of these fees include: Local, State, and National youth soccer association fees, player registration fees and insurance, sports management registration platform related fees & services, merchant account fees, indoor and outdoor training space, tournament and league registration fees, office space, utilities, website, a variety of business related insurance fees, accounting and legal services, payroll service provider fees, compensation for administrative staff and coaches, continuing education for our employees and coaches, training and field equipment, postage and printing expenses, office supplies, youth scholarships, etc. For those reasons, SKV has developed the following policies.
Refund Policies
-
Recreation & Academy Players
If player/parent cancels the registration prior to the first day of the season, 75% of the registration fee will be credited to your player's account to be used for a future registration. No refunds will be given, only credits for future programming.
-
Premier Players
The success of our club teams is dependent on the players who make up each team and their commitment to the program. Accordingly, we expect that all players and parents will follow through with their commitment by completing all required paperwork, attending team meetings and team practices, paying all fees promptly, and attending all league games and tournaments. Because player withdrawals from a roster impacts the stability of a team, our refund policy is firm.
There are no refunds for Premier fees. In the event of one of the following exceptions, SKV will consider a credit to your account for future use.
- Medically documented injury or illness that prevents the player from finishing the seasonal year.
- Documentation that the child is moving out of the SKV area.
- Other extenuating circumstances approved by the Executive Director.
- Premier Deposits are non-refundable.
-
Camps & Clinics
If player/parent cancels the registration prior to the first day of the camp, a 75% will be credited to your player's account to be used for a future registration. Refunds will not be issued to the credit card used for registration. No refunds will be given, only credits for future programming.
Sporting Kaw Valley is committed to protecting the health and safety of its players. When an injury prevents a player from participating in soccer activities, the following protocol must be followed.
As Sporting Kaw Valley is a member of the Kansas State Youth Soccer Association, SKV players injured during play may apply for secondary insurance coverage. That application can be found here:

Injury & Return to Play Policies
-
Injury Documentation
If a player sustains an injury that requires them to discontinue participation in practices, games, tournaments, or other Sporting Kaw Valley activities, the player’s parent or guardian must provide Sporting Kaw Valley with medical documentation from a licensed medical provider.
The documentation must include:
- Nature of the injury;
- Cause or circumstances of the injury, when medically appropriate;
- Date the injury occurred or was diagnosed;
- A written medical order or recommendation stating that the player should cease participation in soccer activities.
The player may not participate in practices, games, training sessions, tournaments, or other on-field activities while under a medical restriction.
-
Return to Play
Before returning to any Sporting Kaw Valley soccer activity, the player must provide written medical documentation from a licensed medical provider confirming that the player has been medically cleared to participate.
The return-to-play documentation should clearly state whether the player:
- Is cleared for full participation without restrictions; or
- Is cleared for participation with specific restrictions or limitations.
Any restrictions identified by the medical provider must be communicated to Sporting Kaw Valley and followed by the player, parent/guardian, coaches, and staff.
-
Clearance Restrictions
A player who has been medically restricted from participation may not return to play based solely on the player’s or parent/guardian’s determination that the player feels better. Medical clearance must be received before participation resumes.
-
Documentation Submission
All injury-related medical documentation and return-to-play clearances should be submitted to Sporting Kaw Valley administration. Coaches should not independently authorize a player’s return when medical clearance is required. Sporting Kaw Valley reserves the right to withhold a player from participation until the required documentation has been received and reviewed.
